NOTICE TO ALL MEMBERS
ANNUAL GENERAL MEETING

Notice is hereby given that the Annual General Meeting (AGM) of the Dee Why Rugby Football Club Inc is to be held as follows:

Date: Sunday 24th September 2023
Time: 1:00 p.m.
Location: Time & Tide Hotel, Dee Why

Purpose: The Election of Office Bearers for the 2024 Calendar Year, which will be declared open at the Annual General Meeting (AGM).

Executive Committee:
President, Vice President, Secretary, Treasurer

Committee Members:
Registrar, Juniors Co-Ordinator, Minis Co-Ordinator, Coaches Coordinator, Gear Steward, Canteen Manager, Social Co-Ordinator and Digital Media Co-Ordinator.

All positions will be declared vacant so please consider nominating yourself for a position on the Committee and ensure that your team has representation and a say in running the Club for the benefit of your child.

Committee role descriptions have been loaded into Team App. If you are nominating for a role, please ensure that you have read and understood the requirements of the role you or your nominee will be required to fulfil.

Nominations must be submitted using the attached Committee Nomination Form and emailed to secretary@deewhylionsrugby.com.au by Friday 22nd September 2023.

Voting:
Families with a registered child /children under 18 are entitled to one vote only. Players who are over 18 years of age are entitled to one vote. All members wanting to cast a vote must be a financial member. Associate members and Life Members are entitled to one vote.

Voting must be cast in person at the annual general meeting – no proxy voting is allowed under our constitution.

All Committee members are entitled to one (1) vote, a second vote cannot be cast by the same person if he/she is also a parent or guardian of a player. One (1) vote per family. In the case of equal votes whether a show of hands or a ballot, The Chairman shall be entitled to a second or casting vote. It is at the Chairman’s discretion to disclose voting tallies.

Unfulfilled positions can be casually nominated from the floor at the AGM until such time the position is filled permanently.
